Section 01

Agreement & Acceptance

Welcome to HPCI – Herbal Pest Control Institute. These Terms and Conditions ("Terms") govern your use of our pest control services, website, and any associated communication channels including phone, WhatsApp, and email.

By booking a service, making a payment, or using our website, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions in their entirety. If you do not agree to any part of these Terms, please do not use our services.

These Terms apply to all customers — individual homeowners, commercial clients, institutional customers, and agricultural clients — across all HPCI service locations in India.

Effective Date: These Terms and Conditions are effective as of January 1, 2025 and supersede all prior agreements, representations, or understandings between HPCI and the customer regarding our services.
Section 02

Services Offered

HPCI provides professional herbal pest control services using 100% plant-based, eco-friendly formulations. Our services include but are not limited to:

  • Herbal Termite Control & Wood Protection Treatment: Pre-construction and post-construction anti-termite treatment using botanical actives derived from neem and plant extracts.
  • Herbal Cockroach Control: Gel-based and spray-based cockroach eradication using citrus and pyrethrin-based herbal formulations safe for kitchens and food areas.
  • Herbal Mosquito Control: Fogging, larviciding, and repellent treatments using eucalyptus oil, citronella, and neem-based botanical solutions.
  • Herbal Rodent Control: Plant-based repellent and exclusion methods for rodent management without toxic baiting or chemical traps.
  • Bed Bug Elimination: Heat treatment and herbal contact-kill formulations for bed bug management in residential and hospitality settings.
  • General Herbal Pest Control Package: Comprehensive treatment for multiple pests including ants, spiders, silverfish, and common household insects.
  • Agricultural Pest Management: Crop-safe herbal pest control for farms, plantations, and agricultural land using organic-certified formulations.
  • HPCI reserves the right to modify, add, or discontinue any service at any time with reasonable notice to existing customers. Specific treatment plans are subject to site inspection and technician assessment.
Note: All HPCI herbal formulations are sourced from certified botanical manufacturers and comply with applicable Indian pesticide regulations. Our products are non-toxic to humans, pets, and the environment when used as directed by our trained technicians.
Section 03

Booking & Appointments

All service bookings are subject to the following terms:

  • Booking Confirmation: A booking is confirmed only upon receipt of a confirmation message from HPCI via SMS, WhatsApp, or email. Verbal or informal communication does not constitute a confirmed booking.
  • Booking Channels: Services can be booked via phone call to 9370233962, through our website contact/booking form, or via our official WhatsApp number. Third-party booking platforms are not authorized.
  • Advance Payment: For one-time services, a partial or full advance payment may be required at the time of booking to secure the appointment slot. AMC customers pay as per their contract schedule.
  • Appointment Window: HPCI technicians are assigned an appointment window (typically a 2-hour slot). Exact arrival time may vary based on prior appointments and travel time. Customers will be notified if significant delays occur.
  • Rescheduling by HPCI: In rare cases, HPCI may need to reschedule a confirmed appointment due to technician unavailability, weather conditions, or operational emergencies. We will notify the customer at least 4 hours in advance and offer the earliest available alternative slot.
  • Customer Cancellations: Please refer to our Cancellation & Refund Policy for complete details on customer-initiated cancellations, rescheduling windows, and refund eligibility.
Section 04

Customer Responsibilities

To ensure safe and effective pest control treatment, customers are required to fulfil the following responsibilities before, during, and after the service visit:

Before the Service Visit
  • Ensure the premises to be treated are accessible and available at the scheduled appointment time.
  • Remove or cover food items, utensils, crockery, and open water containers in areas to be treated.
  • Inform the HPCI team of any allergies, medical conditions (asthma, chemical sensitivities), or special requirements among household members.
  • Ensure pets (dogs, cats, birds, fish tanks) are secured or moved out of the treatment area before the technician arrives.
  • Clear clutter, furniture, and stored items from areas identified for treatment to allow full technician access.
During the Service Visit
  • An adult (18 years or older) must be present at the premises throughout the entire service visit.
  • Cooperate with the technician's instructions regarding areas to be vacated during spraying or application.
  • Do not interfere with the technician's work process or request substitution of HPCI-approved products with unapproved alternatives.
After the Service Visit
  • Follow the post-treatment instructions provided by the technician regarding re-entry time, ventilation, and cleaning schedule.
  • Avoid mopping or washing treated surfaces for at least 4–6 hours after treatment, unless specifically advised otherwise by the technician.
  • Report any adverse reactions or concerns to HPCI within 24 hours of the service visit for prompt assistance.
Important: Failure to fulfil pre-treatment responsibilities (such as restricted access or absence of an adult at the premises) may result in the service being considered a no-show, and the applicable no-show policy will apply. HPCI will not be liable for incomplete treatment outcomes arising from non-compliance.
Section 05

Payment Terms

All payments for HPCI services are governed by the following terms:

  • Accepted Payment Modes: HPCI accepts payments via UPI (GPay, PhonePe, Paytm), NEFT/IMPS bank transfer, cheque, and cash. Online card payments where applicable are processed through secure third-party payment gateways.
  • Invoice & GST: A tax invoice including applicable GST will be issued for all services rendered. Customers requiring GST invoices must provide their GSTIN at the time of booking.
  • Advance Payment: Certain services may require a non-refundable booking advance of 25–50% of the total service fee. The balance is payable upon completion of the service, before the technician leaves the premises.
  • AMC Payment Schedule: Annual Maintenance Contract customers must adhere to the payment schedule outlined in their AMC agreement. Delayed payments may result in suspension of upcoming scheduled visits until dues are cleared.
  • Disputed Payments: Any payment disputes must be raised within 7 days of the invoice date by writing to help@hpcipestcontrol.com. Disputes raised after 7 days may not be entertained.
  • Price Changes: HPCI reserves the right to revise service prices at any time. Existing confirmed bookings will be honoured at the quoted price. Price changes will not apply retrospectively to signed AMC contracts.
GST Registration: HPCI is a GST-registered entity. All service charges are exclusive of GST unless explicitly stated otherwise in the quotation or invoice.
Section 06

Service Guarantee & Warranty

HPCI stands behind the quality and effectiveness of our herbal pest control treatments. The following guarantee terms apply:

  • Re-treatment Guarantee: If the pest problem recurs within the warranty period specified at the time of service (typically 30–90 days depending on the service type), HPCI will conduct a free re-treatment visit at no additional cost to the customer.
  • Termite Treatment Warranty: Anti-termite treatments carry a warranty of up to 5 years for post-construction treatment and 10 years for pre-construction treatment, subject to annual inspection and compliance with post-treatment care instructions.
  • Warranty Conditions: The service guarantee is valid only when the customer has followed all post-treatment instructions, has not introduced new infestation sources (e.g., new furniture, produce from infested storage), and the premises have not been structurally altered after treatment.
  • Warranty Exclusions: The guarantee does not cover re-infestation caused by neighboring properties, structural defects in the building, customer negligence, or failure to comply with post-treatment care guidelines. Agricultural treatments are not covered by re-treatment guarantees due to environmental variability.
  • Claim Process: To claim a re-treatment under warranty, the customer must contact HPCI within the warranty period with the original invoice/booking reference and photographic evidence of recurring pest activity. Claims are subject to technician assessment.
General Services

Section 07

Limitation of Liability

While HPCI takes every precaution to deliver safe and effective pest control services, the following limitations of liability apply:

  • HPCI's maximum liability for any claim arising from a service rendered shall not exceed the total amount paid by the customer for that specific service or treatment.
  • HPCI shall not be liable for any indirect, consequential, special, or incidental damages arising from pest infestation, recurrence, or treatment outcomes, including but not limited to property damage caused by pests prior to treatment.
  • HPCI is not responsible for damage to plants, sensitive ornamentals, aquariums, or uncovered pet enclosures if the customer failed to disclose their presence or failed to follow pre-treatment preparation instructions.
  • HPCI does not guarantee complete eradication of pest infestations in all cases, particularly where the infestation is severe, structural issues facilitate ongoing re-entry, or neighboring properties are sources of continuing infestation.
  • In the unlikely event of accidental damage to property caused directly by HPCI technicians during a service visit, please report it immediately in writing. Valid claims will be reviewed fairly and resolved within 30 working days.
Disclaimer: HPCI services are designed to control and manage pest populations. While our herbal treatments are highly effective, no pest control service can guarantee 100% elimination in all circumstances. Results may vary based on infestation severity, property type, environmental conditions, and customer cooperation.
Section 08

Intellectual Property

All intellectual property related to HPCI — including but not limited to our brand name, logo, website content, herbal formulations, treatment methodologies, marketing materials, and service processes — are the exclusive property of HPCI – Herbal Pest Control Institute.

  • The HPCI name, logo, tagline ("A Passion for Making Pest Free Families"), and all associated branding are registered trademarks. Unauthorized use is strictly prohibited.
  • No content from our website, brochures, or service reports may be reproduced, distributed, or used for commercial purposes without prior written consent from HPCI management.
  • Our herbal pest control formulations, treatment protocols, and proprietary processes are confidential trade secrets. Any attempt to reverse-engineer, replicate, or disclose these to third parties is a violation of these Terms and applicable Indian law.
  • Customer-submitted photographs, testimonials, or reviews shared with HPCI may be used for marketing and promotional purposes. Customers will be informed before use and may opt out by writing to us.

Section 09

Annual Maintenance Contract (AMC)

Customers opting for an Annual Maintenance Contract (AMC) with HPCI are subject to the following additional terms:

  • Contract Scope: The AMC covers a pre-defined number of scheduled pest control visits (typically quarterly or bi-monthly) for specified pest types and treatment areas as outlined in the signed AMC document.
  • Contract Period: AMC agreements are valid for 12 months from the date of first treatment visit. Renewal is subject to mutual agreement and prevailing rates at the time of renewal.
  • Additional Visits: Emergency or extra visits requested outside the AMC schedule will be charged at the applicable prevailing rates. AMC holders receive a priority booking and discounted rate for such additional visits.
  • AMC Transfer: AMC contracts are non-transferable to a different property address or to a third party without prior written consent from HPCI management.
  • Missed Visits: If a scheduled AMC visit is missed due to the customer's unavailability and is not rescheduled within 30 days, that visit will be considered forfeited and cannot be carried forward or refunded.
  • AMC Cancellation: Please refer to our Cancellation & Refund Policy for complete details on AMC termination, refund calculations, and notice requirements.
AMC Benefits: AMC customers enjoy priority scheduling, discounted per-visit rates compared to one-time service pricing, free emergency consultation calls, and annual pest activity reports for their property.
Section 10

Health & Safety

The health and safety of our customers, their families, pets, and our technicians is the highest priority at HPCI. The following safety terms apply:

  • Herbal Formulations: All HPCI pest control products are plant-based and non-toxic under normal conditions of use. They are safe for use in residential, commercial, and food-handling environments when applied by trained HPCI technicians as per guidelines.
  • Technician Safety Equipment: HPCI technicians are trained to use appropriate personal protective equipment (PPE) during all treatments. Customers must not request technicians to skip PPE or operate without safety protocols.
  • Re-entry Time: Customers must follow the re-entry time recommended by the technician after treatment. Standard re-entry time is 30 minutes to 2 hours depending on the treatment type and area size.
  • Sensitive Occupants: Customers with infants (below 6 months), pregnant women, elderly occupants, or individuals with severe respiratory conditions must inform HPCI before the service. Our team will provide specific precautionary guidance for such households.
  • Pets & Aquatic Life: Although HPCI formulations are generally safe, fish tanks and bird cages must be covered and removed from treatment areas. Pets must be kept away from treated surfaces until completely dry.
  • Emergency Protocols: In the unlikely event of an adverse reaction post-treatment, customers should immediately ventilate the area, seek fresh air, and contact HPCI at 9370233962 and a medical professional if symptoms persist.
HPCI technicians carry Material Safety Data Sheets (MSDS) for all products used. Customers may request a copy of the MSDS for any product used in their premises at the time of the service visit.
Section 11

Governing Law & Dispute Resolution

These Terms and Conditions are governed by and construed in accordance with the laws of India. The following dispute resolution terms apply:

  • Jurisdiction: Any legal disputes arising from these Terms or HPCI services shall be subject to the exclusive jurisdiction of the competent courts located in Nagpur, Maharashtra, India.
  • Amicable Resolution: Before initiating any formal legal proceedings, both parties agree to attempt to resolve any dispute amicably through direct communication within 30 days of the dispute arising. Customers may write to help@hpcipestcontrol.com to initiate this process.
  • Consumer Rights: Nothing in these Terms shall limit or exclude any rights you may have as a consumer under the Consumer Protection Act, 2019, or any other applicable Indian consumer protection legislation.
  • Arbitration: If the dispute cannot be resolved amicably, either party may refer the dispute to arbitration under the Arbitration and Conciliation Act, 1996. The seat of arbitration shall be Nagpur, Maharashtra, and proceedings shall be conducted in English or Hindi.
  • Consumer Forum: Customers retain the right to approach the District Consumer Disputes Redressal Commission or appropriate consumer forum as per the Consumer Protection Act, 2019.

Amendments & Contact Us

  • HPCI reserves the right to amend, update, or modify these Terms and Conditions at any time without prior notice. All amendments will be published on our website with an updated effective date.
  • For significant changes that materially affect existing customers, HPCI will provide notification via SMS or WhatsApp to registered customers.
  • Continued use of HPCI services after any amendments constitutes acceptance of the revised Terms and Conditions.
  • These Terms and Conditions, together with our Privacy Policy and Cancellation & Refund Policy, constitute the entire agreement between HPCI and the customer.
  • If any provision of these Terms is found to be unenforceable or invalid under applicable law, the remaining provisions shall continue in full force and effect.
